Set up an approval workflow

An approval workflow defines who reviews the work, in what order, and what they must check. Publish a workflow once, then use it for individual requests in the same project.

Before you start

  • Approvals access and permission to manage approvals in the selected project.
  • The reviewers, their responsibilities, and the person who will handle requested changes.
  • A connected Slack workspace if you want Slack delivery. Email can be used on its own.

Create and publish a workflow

  1. Open Approvals → Workflows

    Choose Create workflow for a new process, or Use template as a starting point. Give the workflow a clear name, such as “Campaign creative review”.
  2. Define the review stages

    Add the required stages in their intended order. For example, start with Brand and then Legal. Assign reviewers to each stage and choose whether one approval or everyone’s approval is required.
  3. Add a useful checklist

    Specify what a reviewer should check, such as the correct logo, approved claims, price, legal copy, and destination URL. Set allowed decisions and deadlines as needed.
  4. Confirm responsibility and delivery

    Check the review administrator, the owner of requested changes, and the participants. Choose email, Slack, or both. Inspect any channel and reviewer settings before publishing.
  5. Publish

    Resolve the builder’s validation messages and choose Publish. The workflow should show Published in the list. An unpublished draft cannot be selected when starting an approval.

Set up notifications

Email delivery uses Mica’s company email; reviewers do not need you to connect a personal mailbox. For Slack, open Approvals → Integrations and connect the intended workspace for this project.

Select the available tracking or stage channels and any reviewer direct-message options. Review validated recipients and email fallbacks in the confirmation preview. A test notification sends a real message, so choose its destination deliberately.
